This Privacy Policy describes how Edupilot (“we,” “us,” or “our”) collects, uses, stores, and protects information when you use our mobile application and related services (collectively, the “Service”). The Service helps tuition institutes, tutors, and students manage batches, study materials, assignments, tests, meetings, and institute communications.

1. Information we collect

We collect information you provide directly and information generated through your use of the Service.

Account and profile information

  • Name, email address, and password (or sign-in via Google)
  • Role (tutor or student), tuition or institute association, and batch enrollment
  • Profile details you choose to add, such as a photo

Institute and educational content

  • Tuition or institute name, join codes, and team member roles
  • Study materials, DPPs, assignments, tests, announcements, and related submissions
  • Files you upload (documents, images, or other media) stored in our cloud storage
  • Doubt posts, messages, and evaluation or grading data entered by tutors

Payments and subscriptions

  • Subscription plan, billing status, and purchase records processed through Google Play
  • We do not store full payment card numbers; payment processing is handled by Google

Device and usage information

  • Device type, operating system, app version, and general diagnostic logs
  • Push notification tokens to deliver alerts and announcements
  • Advertising identifiers where ads are shown (see Section 4)
  • Approximate usage patterns to improve reliability and features

2. How we use your information

We use collected information to:

  • Create and manage your account and authenticate you securely
  • Connect students with their tuition, batches, and assigned content
  • Enable tutors to manage institutes, teams, materials, assessments, and communications
  • Process in-app purchases and subscription entitlements
  • Send push notifications for announcements, reminders, and service updates
  • Enforce plan limits, storage quotas, and feature access
  • Display advertisements where applicable to your subscription plan
  • Monitor performance, fix errors, and prevent fraud or abuse
  • Comply with legal obligations

3. Sharing with third parties

We do not sell your personal information. We share data only as needed to operate the Service:

  • Google Firebase — authentication, database, cloud storage, cloud functions, and messaging
  • Google Sign-In — optional account sign-in
  • Google Play Billing — subscription and in-app purchase processing
  • Google Mobile Ads (AdMob) — advertising, where enabled for your plan
  • Service providers — hosting and infrastructure partners that process data on our behalf under contractual safeguards
  • Legal requirements — when required by law or to protect rights, safety, and security

Content you upload or post within an institute may be visible to other authorized members of that institute (for example, tutors and enrolled students), according to your role and institute settings.

4. Advertising

Depending on your subscription plan and app configuration, we may show ads provided by Google. Ad partners may collect or receive device identifiers and usage data to deliver and measure ads, subject to their own privacy policies. You can limit ad personalization through your device settings (for example, “Opt out of Ads Personalization” on Android).

5. Data retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account by contacting us; some data may be retained in backups or logs for a limited period where required by law or for legitimate business purposes.

6. Security

We use industry-standard measures including encrypted connections (HTTPS/TLS), access controls, and secure cloud infrastructure. No method of transmission or storage is completely secure; we cannot guarantee absolute security and encourage you to use a strong password and keep your device secure.

7. Your rights and choices

Depending on your location, you may have the right to:

  • Access, correct, or delete your personal information
  • Withdraw consent where processing is based on consent
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format
  • Opt out of marketing communications (service-related messages may still be sent)

You can update profile information in the app where available, manage notification permissions in device settings, and contact us to exercise other rights.

8. Children’s privacy

The Service is intended for use by students under the supervision of parents, guardians, or educational institutions. We do not knowingly collect personal information from children under 13 without appropriate consent. If you believe we have collected such information in error, please contact us so we can take appropriate action.

9. International users

Your information may be processed and stored on servers located outside your country, including facilities operated by our cloud providers. By using the Service, you consent to such transfer subject to applicable data protection laws and appropriate safeguards.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy with an updated “Last updated” date. Continued use of the Service after changes constitutes acceptance of the updated policy where permitted by law. We encourage you to review this page periodically.
